Rental Booking Process

 
  • Check the Bookings Calendar to see if your desired date is available and then contact the Delburne Village Office:​​​​​​ 403-749-3606village(at)delburne.ca or in person at 2111 - 20th St.
  • View the current Rental Fees.
  • To secure your date, a rental deposit is required which is half of the price of the total rental cost. 
    • Payment can be made by cash, debit or cheque. Credit cards will have a 3% service fee added to the total. 
      • ​​​​​For cheques, please make them out to the Village of Delburne.
    • Example: A 1 day booking without the bar is $300.00 + GST = $315.00, so your rental deposit would be $157.50.
  • Making Payments
    • Drop off a cheque or cash in an envelope in the mail slot of our office door, or
    • Mail your cheques to the Village of Delburne, Box 341, Delburne, AB T0M 0V0, or
    • Pay in person at the Village of Delburne office (2111 20th St.) during business hours. 
      • Monday - Thursday: 9:00 am - 4:30 pm (closed from noon to 1 pm for lunch)
      • Friday: 9:00 am - Noon
  • Once your rental deposit is received, your rental is booked. 
  • A damage deposit is also required. The damage deposit is the full price of the rental total which will be returned to you once the hall is inspected by staff for cleanliness and damage. The damage deposit must be cash or cheque (made out to the Village of Delburne) only.
  • When you book the Hall, make pre-arrangements with Village staff to pick up the key. 
    • Weekday rentals - pick up the key during Village office business hours
      • Monday - Thursday 9:00 am - 4:30 pm (closed from noon - 1 pm for lunch)
      • Friday 9:00 am - Noon
    • Saturday or Sunday rentals
      • A representative will meet you in the morning to give you the key but please still make this pre-arrangement well in advance with the Village office. 
  • Before your rental date you will need to visit the Village Office to:
    • Sign the Rental Agreement
    • Pay the rest of the rental fee
    • Provide the damage deposit
    • Provide proof of event insurance if serving alcohol
    • Receive paperwork: tenant checklist, emergency contact information & rental receipt.
Signing Paperwork
  • If arrangements have been made for a representative to meet you on Saturday or Sunday for a key drop off, they will NOT process paperwork or payments. Signing the rental agreement and making payments must be done through the Village Office during business hours.
  • If you have a weekend rental date, you must come in by Noon on Friday to sign the Rental Agreement, pay the rest of the rental fee and give the damage deposit. The Village Office is not open in the afternoon on Fridays. ​​​​​
    • Village office hours:
      • Monday - Thursday: 9:00 am - 4:30 pm (closed from noon - 1:00 pm for lunch)
      • Friday: 9:00 am - Noon
      • Weekends & Holidays: Closed
Key Pick-up
  • Key pick-up arrangments must be made in advance to your booking.
  • Renters can pick up the Hall key at the Village office during business hours (see above "Signing Paperwork" for office hours)
  • Renters who book for a Friday can pick up the key on Friday morning between 9 am - noon.
  • Renters who book for Saturday or Sunday, must provide a time when a representative can meet you at the hall to give you the key. 
    • Please note: the representative will not be able to processs paperwork or take payments, so please visit the Village Office by noon on the Friday to finalize your rental agreement.
Cancellation Policy

Deposits will only be refunded if the cancellation is more than 30 days before the date of the event.

The Delburne Community Hall is a designated Emergency Reception Centre that may be used in the event of an emergency by the Village of Delburne or Red Deer County.  If your event is disrupted by an emergency situation, the Village of Delburne or Red Deer County may consider reimbursement for any losses.
